How it works
A complete Lean Café retrospective in 5 phases
1
✍️ Write Cards
Everyone writes cards about what they want to discuss — one topic per card. All cards are visible to the whole group. The facilitator sets a timer. When the timer ends, the facilitator opens voting.
2
🗳️ Vote
Everyone gets a fixed number of votes (set by the facilitator). Vote for the cards you most want to discuss. You can spread votes across different cards or stack them on one. When voting closes, the top cards become discussion rooms.
3
🚪 Choose a Room
Each top-voted card becomes a room. Participants choose which room to join. The facilitator creates matching breakout rooms in Microsoft Teams — participants join the same-numbered room in Teams too.
4
💡 Discuss
Groups discuss their topic in the Teams breakout room. One person (the Scribe) enters the root cause and action items into this tool. Each action needs a description, an assignee (max 20 chars), and a due date. Assignee and due date are optional but strongly recommended.
5
📄 Report
When all rooms are done, the facilitator ends the session. A full PDF report is generated with all cards, root causes, and action items including assignees and due dates.
Fill in the details. You will get a shareable link for participants.

Report
📝 Scribe reminder: Before filling this in, agree with your group on who the Scribe is. The Scribe types on behalf of the whole group while everyone else discusses in Teams.
Discuss with your group, then type the agreed root cause. Try asking "Why?" 5 times to find the real cause.
⚠️ Important: Every action must have an assignee (the person responsible) confirmed and agreed by the group before you type their name. Do not assign someone without their knowledge. Due date should also be agreed by the assignee. Both fields are optional but strongly recommended for follow-through.
